Why Audio Visual Hire Companies Provide More Than Just AV Services

An audio visual service and event management service may seem like strange bedfellows but corporate events are no longer the quaint occurrences they once were. Hosts want a lot more for the investment they are willing to make, and as a result the events themselves are major productions with perhaps hundreds of people attending. But rather than being forced to hire separate companies for separate aspects, corporations can now find audio visual hire companies with the capabilities to take on the entire job.
To a certain degree, the success of corporate event management and audio visual services are dependent on each other. Normally, an event manager will hire someone for the the purpose of av installation anyway and a properly managed event will include an audio visual display that works. However, by marrying the two together, there are clear advantages gained by both, not to mention the hosts.
Event management is more than simply booking a venue and arranging the chairs, and the work required is detailed and precise. The logistical headache involved in ensuring that everything is booked, organised, prepared, printed and installed requires almost military precision. Understandably, since the facets are numerous, the number of services is high. For events of corporate size, one of the most important aspects to have in place is the audio visual aspect, but by offering a complete management service, an av hire company can ensure that all of the cogs move in unison with little or no risk of miscommunication.
It can be a trying experience following the instructions of a management company that is distracted by a host of other issues, like catering, venue availability and accommodation issues. However, this can be sidestepped if the av providers are involved in the management plan from the very start. It means that the av side is fully enlightened regarding the event plan, with technicians fully aware of changes that may affect their installations, such as daily agendas, changes in speakers and possible alterations in video presentations.
Of course, offering a complete event management service means more than lighting and sound issues need to be addressed. For the corporate event, services can extend to managing the financial side in its entirety. This is more than simply ensuring the event operates within a set budget. It can also include full accounting services, with debtors pursued and a specific bank account opened.
It is vital from the point of view of the client that transparency and accountability is maintained at all times, so a final account profit and loss statement is compiled and issued. The principal focus, however, is on the daily management of event preparations as well as the event itself, and ensuring that the allocated funds are going to where they are needed.
While the financial aspect is important, there are also a range of audio visual preferences that a client may require. Not only are lighting systems, video systems and sound systems all necessary for the line of economic and strategic presentations to be made, not to mention the keynote address, but often there is also a request to have the proceedings recorded. This can be especially popular when an event involves workshops at which delegates learn and discuss new techniques. By distributing a recording of a workshop, it allows more people than those who were attending to benefit.
Obviously, an av hire company has the technical ability, equipment and knowledge to record, edit and place on dvd, the workshop or event in question. However, the task is made all the easier when they have control over the planning and execution of the workshop itself. A detailed documentary can be produced if the circumstances are right, and since the best quality result is always desired by the client, handing the organisational responsibilities to the same company that will record events makes sense.
The modern corporate event is so much more than it used to be, but with audio visual hire companies taking on the responsibilities of corporate event management, many of the fears that come with managing an event so big are allayed.
Quality av installation is already guaranteed by the expertise of experienced av personnel, but the closer than usual connection with management means that any changes to an itinerary will be dealt with in the smoothest way. This paves the way for the most successful corporate event possible.
