The decision for getting the best accounting software for any business, big or small is found in about four important areas. The size of a business now and about a year from today needs to be considered. Consider how much sales will grow and in turn affecting inventory and employee needs. As the company grows there might be more accounting functions required to calculate the cost of inventories and count the items coming in and going out. The final area of great importance is to be able to produce reports which integrate all the data input into the subsidiary ledgers to the main general ledger.
The size of a business will determine the type of accounting package to handle operations. A sole owned business may only need a very small program that records cash in and cash out. As a business takes off the growth might demand some smarter processing and additional employees. A small business with about five employees accessing the record keeping software might be fine while there are only a few who need access.
The number of employees who will be keying in data or looking up information at once will need to be anticipated. Smaller programs to track accounts, at a very low cost, can be installed on a PC or a laptop. If your business has more than one person who accesses data at the same time then you will require a Local Area Network (LAN). The LAN network links PCs together using cables, wires and phone lines that are available at home or in a small office.
As the number of users increase in one location the business will require a different kind of network. Your business will need an employee trained in Information Technology (IT) to manage the setup, installation, and maintenance of a blooming system. The cost of software also increases as the number of employees grow who need to access the system.
When a business starts in the garage and goes to an office perhaps there is a prediction of greater future success. The networking system must keep up with the company to support the software programs necessary for tracking inventory levels, building costs, purchase and sales orders. This is quite an expansion from the beginning with cash in and out. Now consider the basic accounts receivable, accounts payable, and general ledger modules where you started. Think about the software package and if it can expand with your business.
Some companies find a software product that can take them from a small size of 5 or less employees to a larger network system that will support the same programs originally used in accounts receivable, accounts payable, and general ledger. Some software companies produce the additional record keeping functions, like sales order and purchase order, as separate modules that can be installed and use can begin. All the functions integrate and send information to the general ledger.
The type of reports a business will need is very important because they are easily compiled when all the data is found in the system. The accounts receivable module can produce reports showing how much is owed to the business by customers who purchased on credit. Invoices and statements can also be produced for clients in most standard software products. Aging reports indicate how clients are paying and this is important for a collection employee who wants to develop reminders or make phone calls to collect outstanding balances.
In conclusion, the best accounting software product for your company is dependent on your needs and how well the software product delivers your solutions. Consider how user friendly the program is for new learners who do data input and those who produce reports in the office or on the floor using the accounting functions. Remember, cheaper is not always better. However, there are some very good, inexpensive and mid-range priced products with integrity in the accounting software market.
