Earlier, the entire documentation work was conducted and stored manually. The employees had to maintain large volumes of physical files for record keeping since the content used to be hand written. These large volumes of files and records were kept in lockers and used to take a lot of time and effort if any file or document had to be retrieved for reference. With the advancement in technology, these big volumes of records and files can be converted into electronic files, be it any text file or image file, and can be created, stored, managed, archived and retrieved under the document management systems. Electronic document management system or web document management system is much more dynamic and sophisticated procedure than offline document management system. With the help of internet technology, people are now able to manage their documents in the cyberspace. They can now retrieve their records and files on-demand at anytime and anywhere. Web based document management system has depleted the consumption of time that used to spend on opening old files and searching for relevant data. • Storage capacity: The most important thing to consider while checking out any online document management system is the storage capacity of the system. Since new files will keep on adding on regular basis, it is always better to have a system with sufficient storage capacity.
• File support: It is very important that the system should support all types of text files, media files (audio and video) and image files in all file formats.
• Search functionality: Search feature enables easy retrieval of documents which are on-demand.
• User interface: The system should have a user-friendly interface so that employees can get accustomed to it quickly and start using it easily.
• Security: Online document management system should have adequate security and document protection system so as to keep the critical documents safe and secure.
• Price: Last but not the least is the price factor that matters a lot. The system should be affordable enough so that companies and enterprises should purchase them without hassles.
There are many document destruction companies that offer document destruction in many forms like shredding, physical destruction and incineration. These document destruction companies use removal cartons and security bins for storing and destruction of documents. These cartons and bins come in different sizes and volumes.
