Event planners are some of the most organized professionals in the world, and for good reason. Without proper organization, most event planners admit that their businesses would fall apart. Planning events with numerous clients requires a system to keep everything in check, as one mistake could cost you your career. Here are a few tips for staying organized when planning an event.
Use Event Management Software
One of the best ways to ensure that all of your ducks are in a row and that you aren't mixing up event logistics by accident is to utilize event management software. Event management software allows you to input all of your notes and information for a specific event, keeping everything you need to make the event go off without a hitch all in one spot. Anyone who is familiar with standard project management software will pick up on the process in no time, and it will save you hours of frustration down the road.
Plan Your Workdays Correctly
Many event planners try to get the most out of their workdays by scheduling meetings with multiple clients and cramming in as many details as possible. Do yourself a favor by slowing down and only meeting with one client per day. While it may feel like you are getting less done, the opposite is true, as you will be able to meet with the single client for a longer period of time, hence covering more ground. Otherwise, you may find yourself mixing up the details between clients, which can lead to disaster in this field of work.
Do Not Take On Too Many Clients
Another mistake that amateur event planners tend to make quite often is to take on too many clients at once. While it may seem necessary in order to pay the bills, the fact is that you will be shortchanging all of your clients because you don't have the necessary time to give to any one of them. Once you get to the point where you can start charging more for your services, try to take on less clients until you find a groove in which you are able to make everyone happy.

Don't panic; panic often leads to failure. Always end your day taking inventory of what you accomplished and what needs to get done tomorrow. Remember that slow is smooth and smooth is fast, and you will succeed as an event planner.
