In order to find a document, a document management system requires information. That information is a redundant or duplicate copy of the same information maintained in the ERP system, which is managed in a separate database. The redundant information needs to be saved in the document management database for every type of document that is needed to be stored. This redundant information is organized by and referred to as field tags. Without the tags, documents cannot be found. Part of the setup process for defining what documents are stored in the database is the work of defining what tags a company might want to use in order to find that information.
With Doc-Trak on the other hand it does not require any field tags as it uses all the information already stored and maintained in the SyteLine database for locating or querying documents, even user defined fields. There is no extra setup, no defining of field tags, no need for a separate database or the on-going expense of maintaining or administration of the other database.
Document management systems are generic applications that have to be interfaced to ERP systems. They have their own look and feel, their own administration, and their own nuances that make using the applications difficult to learn and use. When an application requires weeks to train on, you can understand why such a seemingly minor application is difficult to setup, implement and use.

In addition, Doc-Trak is designed so documents follow the related information throughout SyteLine. Customer documents follow the customer, item documents follow the item, current routing documents follow the current routing when creating jobs, etc. Document management systems do not understand the flow of information in SyteLine, and while you could get those applications to perform that function, it would be tremendously time consuming and expensive.
