As mentioned in the prior articles the information relationships within SyteLine are inherent to Doc-Trak, so item documents in Doc-Trak already know where they are needed throughout SyteLine. Customer order line documents already know how to follow the information through SyteLine and so on. This capability goes beyond SyteLine to related SyteLine applications, like Field Service and Shop-Trak.
Doc-Trak leverages these known relationships to do its bundling of documents. It knows what documents are needed to be bundled along with Job Paperwork so that everything is provided in one nice neat file. It also knows what documents throughout SyteLine are needed to be bundled with SyteLine Order Verifications, Purchase Orders, Invoices and other SyteLine forms. Other document management systems do not automate the bundling of such documents, much less know the relationships that would be needed to support such bundling of documents. With other document management systems, the customer gets a quote document. In Doc-Trak, they get a quote document along with all the other related documents that support the quote, all nicely merged together in a single email attachment.
Also document automation utilizes the customer and vendor document profiles of SyteLine, so it knows whether any specific document is faxed, emailed or printed for any specific customer or vendor. Typical document management systems maintain this information and perform these tasks in their own software. That means, all of the requirements of the customers and vendors have to be retained and managed separately by the document management software. Even if this could be redundantly automated, every time a problem occurs, all the hidden interfaces would expose themselves, creating more support issues, finger pointing, etc. This exposes even more, the ease and simplicity of Doc-Trak vs. the complexity and difficulty of document management systems.
One of our users of Doc-Trak bundles and distributes over 8,000 field service invoices every month. In Doc-Trak, they simply press the invoice button in Field Service. Doc-Trak takes care of the rest. It is the only document automation software that knows field service, Shop-Trak, or QCS for SyteLine, much less how they work.
