Tips to insure the awards presentation is a successful event.

When you are in charge of putting together an awards ceremony for a corporate or social event there are some things you can do to make sure the event goes off without a hitch.

Order the trophies or awards early to give plenty of time to engrave the memorable text on the piece. You can save time, money and have a large selection if you order online, just make sure to have plenty of time for production shipping. The last thing you want to do is be stressing out the day before the event because the award isn’t finished. Today awards and trophies can be very impressive and you can choose from acrylic, glass, silver, and nambe to name just a few.

The inscription should have the recipients name, reason for the award, date and any other relevant text engraved on it. Modern computer driven laser engravers can also engrave your logo or even a photo. For this kind of engraving you will usually need the art work in a jpg. format.

If the award is being presented at an awards banquet, the meal should be rather light and the presentation should be made immediately after dinner. People tend to get sleepy after they eat a large meal.

In a large room an adequate sound system is a must. Make sure the system is in good working order and can cover the entire room. Hotels and office settings usually have in house systems that will work fine. If a cordless microphone is to be used make sure to check the batteries. Bad sound systems make the whole event appear amateurish and make the presenter uncomfortable.

The host will usually introduce the award presenter. This should be done with a short welcome, give credits or interesting information about the presenter and then their name.

The presenter should be brief with their remarks but include some background into what the award represents, and how it was earned. The presenter should keep in mind this is a great opportunity to motivate others in the audience to strive to be next years recipient.

The presenter should also keep in mind the invited guests may not know the inter workings of the organization. If this is the case they should give some additional background information.

After the award is presented (this is a great photo opportunity) the recipient will usually say a few words of thanks and close out the event. I

A good post on some of the details for a successful event. I would agree with Mark that the sound system is critical. Please make sure that it is adequate for the space and the amount of people that will be attending the event. Also, have the awards organized on a table, ready to be handed out in the exact order in which you call the awardees. You will waste precious time if don't have a system in place for the flow of the awards. My husband and I are corporate entertainers and we perform at many awards ceremonies. Keep in mind that you can use entertainers as emcees for the entire event to keep everything flowing and to have fun throughout the entire process. This really makes a big difference, especially if there are many people getting awards. The momentum needs to be kept up and entertainment is a great way to keep the energy going. As the event planner, be sure to ask the entertainer if they have ever emceed before. Don't assume they can do it without asking them directly.
